SUMMARY
Access profiles are created in System Configuration and are used to assign rights to the various software systems, programs, and functions. An access profile defines exactly which functions in Tabs3 Billing, PracticeMaster, GLS, APS, and TAS are available to any user who is assigned to that access profile. Once an Access Profile has been defined, it can then be associated with the individual users who will then have those collective rights. A predefined access profile called “Manager” is automatically created and cannot be modified or deleted. Any user who is assigned to the Manager access profile has all rights to everything. A manager can print a detailed Access Profile List in System Configuration that indicates the rights that have been assigned to individual Access Profiles. Each access profile can be shown with its corresponding Yes or No value.

Log Off Users: This option, when enabled, allows the Tabs3 Billing user to safely log off other users who are currently logged into the Tabs3 Billing and PracticeMaster software. Logging off users in this way discards any unsaved changes and removes the selected user from all conflicting programs. The Log Off Users feature is available only in Platinum versions of the software.

Notes for Tabs3 Billing Access Rights
Edit Fee Compensation Rules: This option, when enabled, allows the Tabs3 Billing user to edit Fee Compensation rules from the Setup tab in Client Information. This option requires that the Change Client option be enabled as well. If either of these options is not enabled, the user cannot edit Fee Compensation Rules.

Browse Contact: This option, when enabled, allows the Tabs3 Billing user to view Contact records and access the Outlook Sync Billing Changes log.

Detail Fee View: This option, when enabled, allows the Tabs3 Billing user to switch from Rapid view to Detail view while in the Fee Data Entry window. If this option is not enabled, the Tabs3 Billing user can only view the Fee Data Entry window in Rapid view.

If this option is not enabled, the user of Tabs3 Billing will receive a message indicating that he does not have access rights when selecting the GLS Integration button on the Cost Data Entry window. The user does not have to have rights in GLS in order to view or modify journal entries for the cost entry.

FREQUENTLY ASKED QUESTIONS
- What rights does the Manager Access Profile have?
- A person who is assigned the Manager Access Profile has rights to all functions in all of the applications with no restrictions. There are several functions that only managers can perform. This includes, but is not limited to, setting up users in System Configuration, locking out users in all of the programs, deleting all users’ Verification Lists in Tabs3 Billing, accessing all secure clients in Tabs3 Billing and PracticeMaster, and using the drill-down feature on a Data File Integrity Report in PracticeMaster. A comprehensive list of the rights that require Manager access rights can be found in the Help provided with the software.
Note: The Manager Access Profile does not include rights to the Platinum SQL database (if installed). Users assigned to the Manager Access Profile who need access to the SQL system will need to be assigned an additional Access Profile with those rights enabled.
- How can I copy an existing access profile and modify it to create a new access profile?
- First, look up the access profile that you want to copy. Then, edit the Access ID field to have the new name for the Access ID you want to create. The label “New” will be displayed. All of the other settings will remain after you give the access profile a new Access ID and Access Name. You can then use the Tabs3 / PM / GLS / TAS / APS tabs and change the rights to fit your needs. Once all changes have been made, press Ctrl+S to save the new Access Profile.
- I just added a new user in System Configuration. When I try to log on with that user, an “Access denied” message is displayed. Why is this?
- The most likely reason is that an access profile was not assigned to the new user. If a user is not assigned an Access Profile, the user has no rights to log into the software. The other reason is that the Access Profile assigned to the user does not have rights to that particular program. You can verify which Access Profiles have been assigned to a user by logging into System Configuration as a Manager, opening the User file (File | Open | Users), and then retrieving the new user record.
- I pressed the Enter key when the Logon window was displayed and was able to get into the program without entering a User ID or Password. Why is this?

When we send out a new system, you need to be able to log into the software. Therefore, the software is provided with a User ID named (BLANK). This User ID has full manager rights and is not assigned a password. If the (BLANK) User ID is not deleted, pressing the Enter key will log you into the software as that User ID. To prevent this from occurring, you can delete this User ID–provided you have at least one other User ID defined that has manager rights. Alternatively, you can edit the (BLANK) User ID by deleting the Manager Access Profile from the list of currently assigned Access Profiles.
- I have several timekeepers and would like them to only be allowed access to their own transactions. Is this possible?

By logging into System Configuration using a Manager profile, you will be able to limit any User ID in the firm to one or more timekeepers (File | Open | Users). Select the Assign Tabs3/PracticeMaster Timekeepersoption and choose which timekeepers the user will be allowed to access. However, it is not possible to limit a fellow Manager in the program. If you do not currently have access profiles set up in System Configuration, you will need to do so before limiting a particular user’s timekeeper access. Additionally, not all aspects of the software can be limited by using assigned timekeepers. For more information on assigning timekeepers, please refer to Knowledge Base Article R11328, “Assigning Tabs3/PracticeMaster Timekeepers.”
- How can I run a report that lists all rights belonging to one access profile?

By logging into System Configuration using a Manager access profile, you can run an Access Profile List (Reports | Access Profile List). This report allows you to select a single access profile, or a range of access profiles, and displays the access rights assigned to each profile.
Selecting the Include Individual Systems option will display access rights information for individual systems (i.e., Tabs3 Billing, General Ledger, etc.). After selecting this option, select Detail for the Type, and in the Systems section select one or more programs for which you want to view access rights. When including individual system access rights, a “grid” of the access rights for each specified program will be shown on the list. Access rights for each system are organized into sets of functions. For example, one of the groups of functions in Tabs3 Billing is “Client Information,” which includes the individual functions of Browse Client, Add Client, Change Client, Delete Client, etc. Each group represents a single row in the “grid.” A legend is printed below each profile for the selected programs and an asterisk (*) will be placed next to each allowed function for each access profile.
- Do changes made to an access profile take effect immediately?
- Changes made to an access profile take effect the next time a user logs into the software. Users already logged in will not be affected until the next time they log in.
